PO Acknowledgement Confusion

There is some confusion on my part as to what PO’s have been successfully acknowledged. When I click on 'Next Steps' for PO# 21738805 the step PO Acknowledgement is crossed out, does that mean that this step is completed and we can move on and pack/create the ASN for this PO?

Hi Kimberly,

Thank you for your post! If the document option is crossed off it is usually a good indicator that the document has been sent. However there are a few scenarios that can can cause that to happen without the document being sent.

It is best practice to use the "related documents' icon to verify if the document has been sent. Please follow the steps below to access related documents:
- Locate the PO in your Inbox
- To the far right in the next steps column there will be a blue icon (four blue dots) which is the Related Documents Icon
- click on that Icon and it will show you the PO and then right below that (arrows pointing down indicated the document was created from the PO) will show you the documents that have been sent.

This will tell you for sure, if a document has been previously sent! Please let me know if you need any further information.

Although I still have some questions. I am in the related documents screen for PO# 21738805 and I see that 2 documents have been sent. Anyways we are first time users of SPS and there is a lot of confusion going on, we been having an issue with some POA's being rejected. How would I know if the POA has been rejected? Will I be able to know by looking at this related documents screen? Would the PO Acknowledgement option still be crossed out even if the POA has been rejected?

Great questions, Kimberly. From the Related Documents window, you will see a red question mark next to the rejected Purchase Order Acknowledgements. Below is an example. As far as the POA being crossed off, this is a result of clicking the "Done" checkbox in the lower-lefthand side of the form. While this is designed to prevent you from sending duplicates, you do not need to check it. Here is an article that explains how to re-open the form on your own. As Jordan mentioned earlier, it may be quicker to contact Austin if you have a list of questions as he is your dedicated analyst and will be sure you understand.
