How do I reject a change order so that we are not charged for it? Our one partner sends numerous accidental change orders that are blank, or the PO they reference has already been shipped months ago, etc. My accounting department tells me we are charged for receiving these change orders.

Dear Lauren,

Thank you for posting SPS Commerce Support Center!

In this case the problem is that the trading partner is sending POCs (Purchase Order Changes) in error.  SPS Commerce is the middle man in this situation, anything your trading partner sends to us we send to you, that transmission gets recorded and added to your bill.  Because these are transmissions we have to charge you whether valid or not.

In order to actually get this resolved you would need to reach out to your trading partner and get them to rectify the problem on their end.  They are the one sending the POCs, therefore the problem lies with them. If you have any other questions comments or concerns please feel free to reach out to us again.

Hi Tim,

Thanks for the response. If the trading partner isn't penalized for sending over erroneous change orders, why would they care that we are getting charged? I don't see why they would care to change what they are doing if they are not effected. We receive several each month--it seems like it would make more sense to have the option to reject the change order, so that the trading partner is the one that eats the costs. Can't SPS help that way?

Dear Lauren,

Thank you for your feedback, I have escalated this to my manager for possible consideration for the future.

Right now, however, our system is simply not set up that way.  For any immediate change you would still need to reach out to the trading partner and get them to stop sending the erroneous data.

Best Regards,
