I submitted an invoice to Costco for a PO that I thought was delivered in full. My trucking company just informed me that this PO was delivered short. Is there a way in WebForms to adjust the quantity of items on an invoice that has already been submitted?

Hello Mountain Peoples,

Thank you for posting on the SPS Commerce support center!

Whenever you are working in the WebForms portal it is like working with emails, the transmission is instantaneous.  Once a document is sent you cannot modify, recall, or delete it, the trading partner has already received it.

In order to resolve this, the proper course of action is to reach out to the trading partner, inform them of the error, and ask them how they would like you to resolve it.  Different companies have different courses of action to resolve issues of this sort and we are not informed of what those are.  So, reach out to the trading partner and they will tell you what to do.  If you have any other questions, comments, or concerns, please feel free to reach out to us again.

Timothy, your response was very helpful. I had this issue with Costco as well and i contacted them directly. They told me to file a claim for that underpaid invoice. Is there an option on SPS website to file a claim?

Please advise,

Olga

Dear Olga,

I just checked your account and the form you would normally use would be the credit/debit document but this is not a document you have access to.  This is another case where you would have to contact Costco.  We are not aware of their procedure for this kind of mistake, they will be able to direct you on the steps to take to resolve this.

If you have any other questions, comments, or concerns, please feel free to reach out to us again.

Best Regards,
